Process Automation Yields Returns on Multiple Bottom-line
The Duke Talent Identification Program Educational Opportunity Guide took a substantially paper/manual process and transformed it online through business process automation to improve efficiency, reduce cost, and most importantly … maximize mission.
Challenges:

-
Print version of Duke University's Talent Identification Educational Opportunity Guide was expensive and time-consuming to produce; costly to distribute. Automation of the production process was limited to collecting the data that appeared in the print version.
-
Old system supported submission of listings from organizations and invoice creation, but provided minimal reporting and fiscal management capabilities. There was no way to correct listing errors or remove listings that were past due.
-
Currency and reach of information was limited by the print paradigm. Summer program information was often incomplete; those in need didn't always have easy and timely access to information they wanted.
-
Organizational criteria limited to state-by-state listing with supplemental alphabetical indices. Promotional advertising for listers relegated to back of guide and not highly valued.
Solution:

-
Created an online experience for users that represents a more robust, but "logical" online progression of the print guide experience.
-
Architected a user experience for the program listers and administrators to increase lister independence and options and reduce administrative overhead.
-
Defined crisp categories and database structure needed to support meaningful search capabilities.
-
Redefined the advertising program to improve revenue and advertiser visibility.
-
Developed a robust, flexible application in Ruby on Rails.
